About the Role:

We are a statewide nonprofit policy organization seeking a highly organized, systems-oriented fractional Executive Operations Partner to support our Executive Director and Board.

This role goes beyond traditional administrative support. The ideal candidate will take ownership of executive workflow systems, governance logistics, and database integrity — reducing cognitive load and strengthening operational infrastructure.

This is a long-term, part-time partnership for someone who enjoys bringing structure to complex environments.

Core Responsibilities:

Executive Workflow & Calendar Ownership

-Manage and maintain executive calendar

-Add and coordinate meeting requests (including multi-date scheduling)

-Monitor and post legislative committee meetings and relevant policy events

-Send confirmations and reminders

Board & Governance Support

-Draft and distribute board meeting agendas and packets

-Convert AI-generated meeting notes into polished meeting minutes

-Maintain board roster and governance records

-Track action items and follow-up

Systems & Database Management (Notion Required)

-Maintain and improve relational databases (organizations, contacts, workgroups)

-Deduplicate and organize records

-Strengthen internal structure for ease of use

Recommend workflow improvements

-Digital Organization

-Maintain organized file systems

-Clean and structure shared folders

-Create simple documentation for recurring processes

Ideal Candidate

You:

-Have supported a C-level executive or nonprofit leader

-Have strong experience working inside Notion (relational databases required)

-Think in systems, not just tasks

-Write clearly and professionally

-Are proactive and detail-oriented

-Are comfortable working independently

-Understand discretion and executive-level communication

Bonus:

-Experience in nonprofit, public policy, or governance environments

-Experience tracking legislative calendars or public meetings
